Getting Hired Checklist:
- Meet with the Learning Center administrative assistant,
(seated in front of the office of the Director, office 5103, phone
650-738-4144) and do the following:
- Read and sign the Tutor Contract (if tutor is a volunteer, skip to #3)
- Bring your social security card AND driver's license or alternative
form of ID;
copies of both are need to get employees hired. - Fill out a hiring packet:
For Skyline students, fill out a Student Assistant Hiring Packet.
For Graduate Tutors, fill out a Short Term and Substitute Employees Packet .
- Review Sign-in and Payroll Procedures (see below).
- Set up your weekly tutoring schedule with the
lab coordinator. Remember,
when you agree to a weekly schedule, this is an agreement for the entire
semester. To set up your schedule contact the lab coordinator in your area:

Complete the online training. Go to Web Access and enter the following: Username: skytutor and password: teachme. - Get your picture taken by the Tutor Coordinator.
We post tutor pictures and
schedules in the lab so students can easily identify and locate tutors. - Tutor can begin work
- If appropriate, tutor or employee participates in ongoing training
Timesheets:
All instruction aides, peer tutors, student assistants and work-study
students go through this same process in order to be paid:
1. Logging in and Out: As you enter the TLC to begin
your work shift, log in at the front computer and log out when your
work shift is complete. The TLC staff assistant uses these records
to confirm hours worked.
2. Fill out a Work Record: Each time you work in
The Learning Center, record your hours on your beige TLC work record
in the red notebook (located behind the printer outside of office
5103) or the timesheet provided by your supervisor. Please remember
to accurately record your arrival and departure time, and calculate
the total time you spent working. Please check your math on your timesheet.
This information on this work record will be transferred to an official
timesheet each month. If you are on federal work-study, please keep
track of your allotment of hours and make sure that you don't go over
without alerting your supervisor in advance.
3. Please note: You will not be paid for any hours
other than those for which you were hired. For example, if you come
in late or are absent, you are not authorized to work extra time to
make up the lost hours. We need coverage in the TLC to be reliable
for students. Of course, if your academic supervisor requests that
you work extra or different hours, those hours will be authorized
and approved. However, this approval must be in writing.
4. Official Timesheets: Your official timesheet must
be turned in to the Office Assistant’s hands by 4:00 PM on the
20th of each month. For those days that you work after the 20th ,
please project your usual hours and then, if you are unexpectedly
absent, please remember to subtract the hours you missed from your
total hours the following month. Please do not forget to sign your
timesheet. It cannot be sent to Payroll unless you have signed it
to verify that your hours have been accurately recorded.
5. Deadline: If you do not meet the deadline of the
20th of each month, your hours will be held and submitted the following
month. This kind of delay in pay can be a hardship, so please be sure
to submit on time.
6. Paycheck Released: Paychecks for Instructional
Aides are ready on the last working day of the month, one month after
the timesheets are turned in. For example, October hours are turned
in at the end of October and are paid at the end of November. For
peer tutors, student assistants and work-study students paycheck are
available on the 15th of the month. Paychecks can be picked up in
the Payroll Office in building 1, room 1316B. If you would like your

or call (650) 738-4209. You must also provide a stamped, self-addressed
envelope.
Calling in Sick:
Please give as much notice as possible if you cannot make
your scheduled tutoring time. Students will often make special trips
to see particular tutors or wait for them; in addition, the labs are
oftentimes very busy, so with adequate warning, it allows us the possibility
of getting a substitute.
In any case, as soon as you know you will not be able to make your
scheduled time, call the TLC's administrative assistant, at (650)
738-4144. If you are a tutor in The Writing and Reading Lab, also
call the WRL desk at (650) 738-7017 and ask the tutor on duty to write
on the tutor sign-up whiteboard that you will be absent so as to alert
students. If you are an instructor scheduled in the lab, you will
need to notify your department office. For Language Arts call Kathy

Printing:
Sometimes tutors have access to computers in the TLC that
are linked to a printer that does not require a pay-for-print card.
This printer may be used in a limited way to print a page or two per
day of materials related to your students' learning. You are not authorized
to use these printers for any personal printing. Please do not allow
any student to use the computers or printer at the tutor station;
this is why the computers are password-protected.
