CONFERENCE ATTENDANCE, APPROVAL AND ADVANCE
Attendance at conferences, workshops, and conventions makes a significant contribution to professional renewal and a healthy instructional environment by exposing faculty to new classroom techniques, to current research in community college education, and to stimulating interaction with other educators.
Several funding sources are available to faculty wishing to attend conferences, workshops and other professional meetings:
- The Faculty Professional Development Fund provides
dollars for conference/workshop fees and substitutes. A more detailed
description of Professional Development follows on the next page.
- The Trustees' Fund for Program Improvement funds projects that may
include travel and conference/workshop attendance.
Conference attendance requests by faculty should be submitted to the Division Dean on the "Conference Attendance Approval" form available from Division Offices or the Evening Office. These requests must be approved in advance of attendance by the Division Dean and Vice President of Instruction and, in the case of out-of-state travel, by the College President. All requests must include: Inclusive dates of travel
Purpose of travel (e.g., conference attendance)
Estimated maximum expense to the college
Arrangements which have been made to cover teaching assignments
and/or other duties during the absence.
Out-of-state travel requests must be prepared at least three weeks prior to the intended departure date. Requests for travel within the state must be prepared at least a week in advance.
Requests for Conference Advance
If you desire an advance of travel funds, complete the Request for Conference Advance form for administrative approval at least four weeks prior to planned date of departure, listing all estimated expenses. One advance check will be issued for each conference; minimum amount of advance is $50. See your Division Staff Assistant for forms
.Reimbursement for Conference/Workshop Attendance
After returning from a conference or other professional meeting, faculty must submit the Statement of Conference Expense form in order to obtain reimbursement of expenses (or return unused advances).
Original receipts for expenses must accompany the form. The form and receipts should be completed within two weeks of return. Division Staff Assistants can assist faculty in completing the form correctly. The Statement of Conference Expense can be found on the District Portal Page under download.
FACULTY PROFESSIONAL DEVELOPMENT OPPORTUNITIES
Professional Development Fund
The San Mateo County Community College District provides a fund equal to 1% of expenditures for regular faculty salaries to provide faculty professional development opportunities.
Eligibility:
For Long Term Projects - Regular (Tenured) Faculty For Short Term Projects - All Faculty (Regular, Contract, & Adjunct)
Activities: Long Term Projects: Retraining, advanced
study, and research. Provides semester-long reassigned time at full pay.
(Does not cover tuition, transportation, or lodging.)Long-term professional development activities
may include retraining, advanced study, and research. Long-term reassigned
time is provided at full pay. Tuition, transportation, meals, and lodging
are not funded. Long-term professional activities are available to Regular
(Tenured) faculty only and involve full or partial reassignment lasting
more than three weeks. Short Term Projects: Participation
in conferences, workshops, seminars, or training sessions lasting up to
three weeks. Provides registration fees and cost of faculty substitutes.
(Does not cover transportation or lodging.)Short-term professional development activities
may include participation in conferences, workshops, seminars, and training
sessions which last no more than three weeks. Funds are available to cover
costs of registration fees and substitute teaching time. Tuition, transportation,
meals, and lodging are not funded. All faculty (Regular, Contract, and
Adjunct) may apply.

Application

- Applications for long-term projects are considered by the Professional Development Committee in two separate cycles with deadlines normally in late October and late March. Long Term Professional Development Form
- Applications for short-term projects are accepted on a continuous basis by the Professiona Development Committee. Applications must be submitted 21 days prior to the activity. Short Term Professional Development Form
- Evaluation Criteria: Clearly stated goals and objectives, indication of benefit to the college, responsiveness to a demonstrated need relative to present or future assignment, realism of timeline/cost-effectiveness features. Applications can be obtained from Theresa Tentes in the Office of the Vice President of Instruction (ext. 4321). Copies of successful project proposals are also available for perusal.
Extended Leave (Sabbatical)
Extended Leave (Sabbatical) provides full release (semester or year in length) from regular duties and enables faculty to engage in substantive professional growth projects. Extended leaves allow time for advanced formal coursework, independent study, work experience, programs of study and/or research and other beneficial activities which do not fall under regular faculty responsibilities. Trustees' Fund for Program Improvement

Eligibility: Full-time and part-time faculty (Part-time faculty must
have a full-time faculty member co-sponsor a project) Activities Funded: Projects which are beyond normal professional
duties and responsibilities and which have specific and applicable outcomes
to enrich student learning or improve student success. Funding Priorities: Priorities in recent years have included articulation
activities, curriculum development, classroom-based research, activities
to improve retention, development of alternative teaching techniques,
cooperative efforts with other colleges and agencies. Application: ** Applications are considered by the Professional
Personnel Committee of the Academic Senate in two cycles per year with
deadlines, normally, in November and April. ** Evaluation Criterion: Responsiveness to priorities
and college/division needs. ** Up to $3,500 may be used for faculty, classified,
and student assistant salaries; supplies; instructional equipment; duplicating
services; mileage; contracted services; and conference expenses.
